Census Date

The point during a course when a student’s registration is considered official for reporting and state support. The SUNY Board of Trustees policy states that registrations become official when enrollments are stable or twenty-one days after the course’s start date but no earlier than when 20% of the coursework has been completed. Campuses must apply this policy to each course section taught.

Faculty confirm enrollment by the census date providing accurate information that is shared with the National Student Clearinghouse, State and Federal agencies as required by Federal law. Enrollment confirmation ensures that each student participating in class is properly registered as well. Students that receive financial aid can be negatively impacted by inaccurate enrollment information.

Active participation by a student in an instructional activity related to the student's course of study that is defined by the institution in accordance with any applicable requirements of its State or accrediting agency;

Includes, but is not limited to -

  • Attending a synchronous class, lecture, recitation, or field or laboratory activity, physically or online, where there is an opportunity for interaction between the instructor and students;
  • Submitting an academic assignment;
  • Taking an assessment or an exam;
  • Participating in an interactive tutorial, webinar, or other interactive computer-assisted instruction;
  • Participating in a study group, group project, or an online discussion that is assigned by the institution; or
  • Interacting with an instructor about academic matters

 

Does not include, for example -

  • Living in institutional housing;
  • Participating in the institution's meal plan;
  • Logging into an online class or tutorial without any further participation; or
  • Participating in academic counseling or advisement.

 

Students who are reported as NEVER ATTENDED will be withdrawn from the course or courses following the enrollment census reporting date and the Offices of Student Accounts and Student Financial Aid Services will be notified. A "W" will be entered in the student academic record to indicate a course withdrawal.
