While the Internal Review process is underway, APLI will guide the program lead, department chair, and academic dean in initial planning for program marketing and, if applicable, for remote modality deliveries.
Marketing Team
APLI will schedule an initial meeting of the Marketing Team. The Marketing Team includes the Program Lead, Department Chair and/or Program Coordinator, Academic Dean, Undergraduate or Graduate Admissions, the Office of Communication & Marketing, and any other individuals who may have insights valuable to the successful promotion of the new program. Collectively, this team will discuss the details of the new program, the students it is likely to serve, and the best venues for advertising the new program. NO MARKETING CAN BEGIN UNTIL THE PROGRAM IS REGISTERED, but it is wise to have the marketing plan in place and drafts of recruitment materials in development so that they can be launched quickly upon registration.
Online/Hybrid Team
If the program proposal includes online/hybrid modalities and faculty will need new training or will have specific course devleopment needs, APLI will schedule a meeting with the Program Lead, Department Chair and/or Program Coordinator, Continuing & Online Education, and the Office of Instructional Technology to develop a plan.
Once a new program has been registered, we must close the loop on administrative communication and program maintenance. APLI will take the lead by sharing the new program summary with the following administrative offices so that they can complete their respective roles:
- Records & Registration will add the program and courses to Banner and build the progress report in DegreeWorks.
- The Program Lead/Academic Unit will need to update department faculty and adminsitrative assistants with new codes, etc.
- APLI will add the program and courses to the Graduate or Undergraduate catalog.
- Enrollment Management will add the program to Slate.
- The Center for International Programs is notified to update their list of programs available for international students.
- Office of Communication & Marketing, Enrollment Management, and/or Undergraduate/Graduate Admissions will update promotional websites.
- Office of Communication & Marketing will launch the marketing plan and print/post promotional collateral as appropriate to the program.
Typically, the marketing plan will be developed during the external review process and will launch very shortly after the new program has been registered, but promoting your program doesn't stop there. Departments should monitor their marketing materials and websites and review their online catalog to ensure that information and content remains accurate and up-to-date. Faculty should participate as appropriate in open houses, visitation days, and other activities where they may have an opportunity to answer questions from prospective students interested in their programs.
And because we recruit to specific Graduate programs, Graduate faculty should be proactive and creative in making sure that potential students who are interested in and may benefit from our excellent Graduate programs know what we have to offer that may help them achieve their academic and professional goals.
